That is a real problem in the construction industry. The biggest problem with this is the lack of version control.
If project teams are copying documents and saving them to memory pens, desktop, emails, Dropbox etc the chances are that they are referring to them in those places too and may be working to out of date versions.
Make sure than your project team have ONE single source of truth! This could be a Document Management System, Dropbox, Microsoft Teams, your company server etc but it shouldn’t be all of these places! Audit this to ensure it is the place that your teams are referring to, it is fully searchable and your teams can find the latest information as quickly as possible.
