Top 5 Key Document Management Trends for 2020!


No post-Christmas blues here! Back to work after a fabulous two weeks off and feeling completely reenergized and READY for 2020.


Doc Elite have some very exciting projects in the pipeline and are in for a JAM PACKED first quarter.


With that in mind, I thought I would give you 5 key Document Management trends you need to look out for in 2020;


1. Every CLOUD has a silver lining…

Every Cloud has a silver lining and that is no different to the computing cloud bandwagon that almost all my clients are jumping on. Some elaborate systems Common Data Environments that do just about anything from field management, automatic document numbering, correspondence management, model viewing, task management to simple storage solutions all with one big benefit; Documents are available in real-time, anytime, anywhere… If you don’t have one, maybe you should start to think about!


2. The trend has been that MOBILE was winning. ITS NOW WON!

Everyone wants access to their important documents on the go. If it’s not mobile, it’s time to think of a revamp! This is catching on with some of my clients who have been using basic in-house software to manage their projects and documents. Document Management software needs to be mobile and user-friendly to gain momentum and respect.


3. Trust the PROCESS… Not just any process but a STREAMLINED PROCESS!

My two favourite words; Accountability and Traceability. You can’t have these if you don’t have streamlined processes or WORKFLOWS. All project information should go through processes to check for accuracy and ensure designs are viable. Some software platforms have some amazing workflow capabilities others are lacking in this area. If you are looking at a new platform, ensure this is on your to-do list.


4. SECURITY is better when its built in. Not added on.

Is your Document Management system completely secure? Can you guarantee that only the correct people are seeing the correct information? Is it easy to change permissions when required? Do not underestimate the importance of security. In this industry is vital. Working on large scale construction projects I have had my eyes opened particularly when it comes to Designers – their designs are ‘one of a kind’, ‘unique’, ‘bespoke’ – they want to ensure it does not fall into the wrong hands and off course confidentiality is top of the agenda. Make sure that whatever system you use for Document Management can guarantee on security.


5. If it is not SCALEABLE it is not worth doing.

If your business grows can your Document Management system grow too? You need to ensure that you have a system that can grow and cope as your business grows. If you are selecting a new system find out if what the development milestones are for the foreseeable future.
